Reports & compliance
17 named reports. No spreadsheet weekends.
Every report reads the same ledger the counter, the coolroom and the vans write to, so the numbers agree with each other. All 17 filter, sort and export to CSV, Excel and PDF. Saturday goes back to being Saturday.
The report library
One ledger in. Seventeen reports out.
Nothing here is imported, reconciled or pasted from somewhere else. The counter sale, the coolroom draw and the van delivery land in one ledger, and every report reads it live. When two reports mention the same kilo, it is the same kilo.
The Buy Report makes Monday buying arithmetic, not instinct.
Sold last week, on hand now, already on a purchase order: the Buy Report lines the three up per product and suggests the buy. You walk into the market with a number instead of a feeling and a damp bit of paper.
- Sales against stock against incoming. One row per product, nothing to cross-reference.
- A suggested buy you can overrule. The arithmetic is the report's job. The judgement stays yours.
- Filters like all 17. By product group, supplier or date range, then out to CSV, Excel or PDF.
Sold, on hand, incoming. The buy is what's left over.
The flagship nine, and the other eight.
Profit & margin runs on real lot-level COGS, the cost of the exact pallet each sale drew from, so margin is a fact rather than an allocation. Lot Profitability goes further and scores every pallet on its way out the door. The rest cover the money, the shrink and the suppliers.
GST & BAS
BAS without the shoebox.
Fresh meat and most fresh produce are GST-free. The pies, the marinades and the bags are not. Generic systems trip on exactly that mix. Opsider handles GST per line, so a mixed invoice works itself out and the BAS numbers are ready when your accountant is.
Right on the line, ready for the BAS.
- Per-line GST-free handling. Brisket GST-free, pies taxable, on the same invoice, correct on the draft and correct on the docket.
- BAS-ready GST report. The totals read straight off the screen. No shoebox, no Sunday night with the calculator.
- Exports like everything else. CSV for the accountant, PDF for the drawer you never open.
G1 and 1A, straight off the ledger.
Customer variance
Catch the drifting account early.
Every customer has a rhythm, and Customer variance reads it: who should have ordered by now, and how long they've been quiet. You catch the drifting account before the competitor's ute is in their car park. It's not month-end reading. It's a phone call before smoko.
Who should have ordered by now.
- The rhythm, learnt from history. "Usually orders Tue" comes from their actual orders, not a field somebody filled in once.
- Days quiet, not vibes. Nine days past their usual Tuesday is amber. Twenty-three is red, and probably an account being lost politely.
- Call or win back from the row. Ring them on the spot, or send a win-back special to everyone on the list at once.
Nine days quiet is a phone call, not a mystery.
Search
Ask a question. Get a number.
Ctrl-K finds any customer, order, lot or page in the system. It also answers plain English: ask how much lamb Press Club bought last month and you get a figure on the spot, not a report to build first.
The fastest report is the one you never run.
- Everything findable. Customers, orders, invoices, lots, pages. Three letters and enter.
- Questions answered with figures. Kilograms, dollars and order counts, straight from the ledger, with the orders behind them one tap away.
- Lots included. Punch in a lot code and you're one tap from everywhere that pallet went.
The answer, then the orders behind it if you want them.
Compliance
Compliance without the binder.
The inspector doesn't ring ahead. Opsider keeps the records where the work happens, filled in as it happens: probe temps, cleaning sign-offs, cold chain on every delivery. When the clipboard walks in, the audit pack exports in one go.
The records keep themselves while the shop runs.
- HACCP-style temperature diary. Morning and afternoon probe temps for the coolroom and the display, initialled on the spot and flagged the moment one reads high.
- Cleaning checklists. Dated, signed and on screen, instead of laminated and hopeful.
- Cold chain on every delivery. The driver probes at the door and the reading lands on the delivery record by itself.
- The audit pack. Temperatures, cleaning, deliveries and lot movements for any date range, exported before the inspector finds a park.
